Update Employee Profile

Whenever any change is required in an employee’s profile, the information can be updated manually using the Employee Module. This module allows HR or authorized users to edit individual employee details directly within the system. Users can modify information such as personal details, official details, reporting managers, contact information, and statutory records as needed. Manual updation is useful when changes are required for a specific employee instead of performing a bulk upload. The system ensures that updated information is saved immediately and reflected across related HR processes. This feature helps maintain accurate and up-to-date employee records in the organization.

Path to Update Employee Profile – Click on Organization Tab –> Click on Employee Tab –> Select an Employee where Changed needs to be Done –> Select Field –> Click on Edit Button –> Update Data –> Click on Save Button.

Click on Organization Tab.

Click on Employee Tab and Seect Employee where Data Needs to be Change.

Click on Edit Button.

  • Employee profile details such as Father/Husband Name can be updated if the existing information is incorrect or different from the actual details.
  • Blank fields in the employee profile can also be filled by manually entering the required information.
  • Users can perform these changes through the Employee Module by clicking the Edit button in the employee profile section.
  • After updating the required details, the changes can be saved to maintain accurate and up-to-date employee records in the system.

Select the Tab to Update, Enter Data and Click on Ok Button Highlighted on the Screen.

Repeat the same process for other employee fields that require changes or updates. After modifying the necessary details, click on the Cancel button to complete the employee profile update process successfully.

View After Changes Done.

Update With Maker Checker Approval.

  • Maker–Checker is a workflow and control mechanism used to ensure that important HR transactions are reviewed and verified before final approval in the system.
  • The Maker creates or initiates requests such as employee onboarding, salary revisions, leave adjustments, payroll processing, employee profile updates, or bank detail changes.
  • The Checker reviews the request and can approve, reject, or send it back for correction, and the transaction becomes effective only after approval.
  • This process helps reduce errors, prevent unauthorized changes or fraud, maintain compliance, and ensure accountability by tracking all actions with user details and timestamps.

If Maker Checker is Applied to the Field, Then Data gets Updated after Maker Checker Approval.

Data goes to the Maker-Checker approval page only when the Maker-Checker setting is enabled in the HRIS Information Settings for particular fields.

Select any Employee where data needs to be changed.

Updated Middle name and pop up Shows that “This record is sent to Maker Checker for Approval.”

Data Visible at Maker Checker Approval Page for Approval the HR/Admin.

Click on HR Corner –> Click on maker Checker –> Click on Approvals

Approve this Record.

Record approved and visible in History Tab.

Check Updates on Employee Profile.
